How to cancel or withdraw users from enrolments in a Series

Learn how to withdraw users from an active enrolment

When a learner is enrolled in a Series there may be a number of reasons why the enrolment needs to be cancelled.

  • Enrolment no longer required - e.g. the user maybe on leave and cannot complete the enrolment in the timeframe
  • User Deactivated - e.g. the user has left the organisation and all enrolments need to be cancelled
  • User does not want to complete the enrolment - e.g. the user may want to start the enrolment again from the beginning or is just not able to continue for some reason
  • Enrolment Error - e.g. the enrolment was created in error and needs to be cancelled

✅ Learner will still get access to any Learning Resources even if they are withdrawn from the series.

Steps to withdraw a single user from an enrolment

  1. Go to the Series Library and open the relevant Series.
  2. Go to Enrolments list and find the enrolment record for the user by applying filters or search criteria.
  3. Select the enrolment in the list to open the Enrolment Details.
  4. Then select Withdraw.
  5. Choose the appropriate withdrawal reason from the drop down list and then complete the withdrawal.
  6. The enrolment record will now indicate Withdrawn status and the enrolment will be cancelled for the user.

Steps to withdraw multiple users from an enrolment

  1. Go to the Series Library and open the relevant Series.
  2. Go to Enrolments list and find the enrolment records for the users by applying filters or search criteria.
  3. Select all of the enrolments in the list to show the bulk actions menu.
  4. Then select Withdraw from the bulk actions menu.
  5. Choose the appropriate withdrawal reason from the drop down list and then complete the withdrawal. Note: the same reason must be used for all selected users.
  6. The enrolment records will now indicate Withdrawn status and the enrolments will be cancelled for the selected users.

⚠️The withdraw option will only appear for an active enrollment (e.g. Waiting to start, Not Signed In, No Attempts, In Progress) and so won't appear once the enrolment has ended (e.g. Mastered, Incomplete).

✅ When viewing and export data from Insight Reports, you can use the Status filter to exclude the Withdrawn status.
